How We Calculate
The Arithmetic Behind Each Result
Monthly Snapshot applies fixed formulas to the monthly totals and counts you enter. Each report shows the result, the general formula, and the specific figures used.
All Nine Indicator Formulas
The four introductory indicators use the first three monthly totals. Complete adds seven counts for Sales Pipeline, Job Activity, and Customer Mix.
| Indicator | Formula | What It Uses |
|---|---|---|
| Payments Collected / Invoiced Revenue | Payments collected ÷ invoiced revenue × 100 | Compares the payments and invoice totals you entered for this month. The Snapshot does not match payments to individual invoices or align them to invoice dates, so this is not a collection rate for a specific invoice group. |
| Difference Between Invoiced and Collected Totals | Invoiced revenue − payments collected | Subtracts the monthly payments-collected total from the monthly invoiced total. It is only the difference between two aggregate figures; it is not invoice-level matching or necessarily the amount currently owed to you. |
| Payments Collected Less Listed Costs | Payments collected − total listed operating costs | Subtracts the operating costs you chose to include from payments collected. It excludes unlisted costs and accounting adjustments, so it is not accounting profit. |
| Share of Collected Payments Left After Listed Costs | (Payments collected − total listed operating costs) ÷ payments collected × 100 | Shows the share of payments collected that remains after subtracting the costs you listed. It uses only your totals and is not accounting profit or a comparison with another business. |
| Quotes Sent / Leads Received in Period | Quotes sent in period ÷ leads received in period × 100 | Divides quotes sent during the selected month by leads received during that month. The totals are not matched lead by lead; quotes may relate to earlier leads, so this is not a conversion rate for a matched lead group. |
| Quotes Accepted / Quotes Sent in Period | Quotes accepted in period ÷ quotes sent in period × 100 | Divides quotes accepted during the selected month by quotes sent during that month. The counts are not matched to the same quotes, so this is not a cohort conversion rate and may exceed 100%. Accepted quotes are not counted as completed jobs. |
| Share of Completed and Cancelled Jobs Cancelled | Cancelled jobs ÷ (completed jobs + cancelled jobs) × 100 | Divides cancelled jobs by the completed and cancelled jobs you entered for this month. It does not include jobs still open or scheduled, or explain why any job was cancelled. |
| Monthly Invoiced Revenue per Completed Job | Total period invoiced revenue ÷ completed jobs in period | Divides the month’s total invoiced revenue by completed jobs recorded for the same month. It does not match invoices to individual jobs. |
| Returning Customers / Customers Served | Returning customers served ÷ (new + returning customers served) × 100 | Divides returning customers served by the total of new and returning customers served during the selected month. It uses counts only and does not identify customers or explain why they returned. |
- Payments Collected / Invoiced Revenue
- Payments collected ÷ invoiced revenue × 100
- Compares the payments and invoice totals you entered for this month. The Snapshot does not match payments to individual invoices or align them to invoice dates, so this is not a collection rate for a specific invoice group.
- Difference Between Invoiced and Collected Totals
- Invoiced revenue − payments collected
- Subtracts the monthly payments-collected total from the monthly invoiced total. It is only the difference between two aggregate figures; it is not invoice-level matching or necessarily the amount currently owed to you.
- Payments Collected Less Listed Costs
- Payments collected − total listed operating costs
- Subtracts the operating costs you chose to include from payments collected. It excludes unlisted costs and accounting adjustments, so it is not accounting profit.
- Share of Collected Payments Left After Listed Costs
- (Payments collected − total listed operating costs) ÷ payments collected × 100
- Shows the share of payments collected that remains after subtracting the costs you listed. It uses only your totals and is not accounting profit or a comparison with another business.
- Quotes Sent / Leads Received in Period
- Quotes sent in period ÷ leads received in period × 100
- Divides quotes sent during the selected month by leads received during that month. The totals are not matched lead by lead; quotes may relate to earlier leads, so this is not a conversion rate for a matched lead group.
- Quotes Accepted / Quotes Sent in Period
- Quotes accepted in period ÷ quotes sent in period × 100
- Divides quotes accepted during the selected month by quotes sent during that month. The counts are not matched to the same quotes, so this is not a cohort conversion rate and may exceed 100%. Accepted quotes are not counted as completed jobs.
- Share of Completed and Cancelled Jobs Cancelled
- Cancelled jobs ÷ (completed jobs + cancelled jobs) × 100
- Divides cancelled jobs by the completed and cancelled jobs you entered for this month. It does not include jobs still open or scheduled, or explain why any job was cancelled.
- Monthly Invoiced Revenue per Completed Job
- Total period invoiced revenue ÷ completed jobs in period
- Divides the month’s total invoiced revenue by completed jobs recorded for the same month. It does not match invoices to individual jobs.
- Returning Customers / Customers Served
- Returning customers served ÷ (new + returning customers served) × 100
- Divides returning customers served by the total of new and returning customers served during the selected month. It uses counts only and does not identify customers or explain why they returned.
How To Read The Results
- The report summarizes figures entered manually for one calendar month. It does not connect to books, invoices, bank accounts, or customer records.
- Percentages compare monthly totals or counts; they are not benchmarks or matched records.
- Invoiced revenue minus payments collected is not invoice-level matching and is not necessarily accounts receivable.
- Payments collected minus listed operating costs is not accounting profit. Other costs and accounting adjustments are not included unless entered.
- Ratios with a zero denominator are shown as N/A; the report does not substitute zero.
- Currency values are displayed to two decimal places and percentages to one decimal place.
- The report covers one reporting period and does not compare it with an earlier period.
- Period totals and counts are not matched into invoice, lead, quote, or customer cohorts.
- This formula-based summary is not bookkeeping, accounting, tax preparation, forecasting, or financial advice. It does not verify source records or explain why results occurred.
